How to write a meeting recap

  1. Lead with decisions. They're the reason the meeting happened.
  2. List action items with names and dates. Use the format Owner: task by date so everyone can scan for their name.
  3. Park open questions. Give each one an owner, so it doesn't reopen next week.
  4. Confirm the next meeting. Say you'll start by reviewing the action items.
  5. Link the notes. Anyone who wants the detail can find it.

Meeting recap example

Recap: Website relaunch sync, 24/09

Decided: launch moves to 14 October. We're keeping the current pricing page.

Action items: Sam: final homepage copy by Thursday. Priya: QA checklist shared by Friday. Alex: book launch-day social posts by 10 Oct.

Open: do we need a redirect for the old blog? Alex to check by Monday.

Keep recaps short

If your recap is longer than the meeting agenda, it's too long. Aim for something people can read in under a minute. The action items template is the one part that must be complete.

From recap to real work

A recap email is only as good as what happens next. In BOO Workspace, each action item becomes a task on the right board, with an owner and a due date, so the recap and the work never drift apart.

Skip the typing

Or let Lilly fill it in.

In BOO Workspace, a notetaker joins your Google Meet, Zoom or Teams call. Afterwards, Lilly AI drafts every action item with a proposed owner and due date. You accept the ones you want and they land on the right board.

See how Lilly works
  • Every action item gets a suggested owner and due date.
  • Nothing lands on a board until you accept it.
  • Recurring meetings carry open items into the next one.
  • Transcription always completes, even if AI credits run low.

Good to know.

What should a meeting recap include?

Decisions made, action items with owners and due dates, open questions, and when you'll meet next. Skip the blow-by-blow of the discussion. People who need detail can read the notes.

When should I send a meeting recap?

Within an hour or two, while the meeting is fresh. The later the recap, the more people fill the gaps with their own version.

What's the difference between a meeting recap and meeting minutes?

Minutes are a formal record of the meeting, often required for boards and committees. A recap is a short, informal summary focused on what happens next. Most teams need recaps, not minutes.

Can a meeting recap be written automatically?

Yes. In BOO Workspace, a notetaker joins your Google Meet, Zoom or Teams call and Lilly AI drafts the action items with proposed owners and due dates, ready for you to review.
