How to run a weekly team meeting

  1. Share the agenda in advance. Same time, same doc, every week.
  2. Start with last week's action items. It builds a habit of finishing things.
  3. Keep wins short. One line each. It sets a good tone and takes two minutes.
  4. Spend the most time on blockers. That's where a meeting adds value over a status report.
  5. End by reading back action items. Owner, task, date, out loud.

Make the meeting shorter every week

The best weekly meetings get shorter over time, because status lives on a board instead of in the room. On a BOO Workspace board, everyone can see what's in progress before the meeting starts, and recurring meetings carry open action items into next week.

Skip the typing

Or let Lilly fill it in.

In BOO Workspace, a notetaker joins your Google Meet, Zoom or Teams call. Afterwards, Lilly AI drafts every action item with a proposed owner and due date. You accept the ones you want and they land on the right board.

See how Lilly works
  • Every action item gets a suggested owner and due date.
  • Nothing lands on a board until you accept it.
  • Recurring meetings carry open items into the next one.
  • Transcription always completes, even if AI credits run low.

Good to know.

What should be on a weekly team meeting agenda?

Last week's action items, quick wins, this week's priorities, blockers and decisions, and new action items. Keep the same order every week so people can prepare.

How long should a weekly team meeting be?

Thirty minutes suits most teams of up to ten people. If you regularly run over, move detailed discussions to a parking lot and take them offline.

How do I stop the weekly meeting becoming a status update?

Ask people to update their tasks before the meeting, then spend the time on blockers and decisions. The board shows the status, and the meeting is for what the board can't answer.

How do I make sure action items carry over?

Start every meeting by reviewing last week's items. In BOO Workspace, recurring meetings carry open items into the next occurrence automatically.
